Job Description

The Executive Associate will report directly to the  Vice President providing broad support in all aspects of a fast- paced and demanding environment. The EA will work independently on tasks and projects, providing clear and concise information.  Will also provide support to ensure Customer Satisfaction.


Specific responsibilities include:

  • Provide administrative and secretarial support such as typing, copying, filing, answering telephones, greeting visitors, ordering office supplies, making travel arrangements, sorting/distributing mail and maintaining executive and departmental calendars.
  • Maintain executive calendar
  • Prepare presentations for meetings
  • Foster clear communication between VP and direct reports
  • Resource for information to department, Prevost personnel, dealer personnel and customers
  • Coordinate and set-up special events/meetings (onsite and offsite)
  • Make travel arrangements
  • Prepare Travel Plans and Process Expense Reports
  • Assist with new hires
  • Maintain staff calendar and schedule (weekly and vacation)
  • Attend all staff meetings, prepare and distribute staff meeting minutes
  • Maintain Organization Charts
  • Assist with special projects
  • Maintain an efficient office environment including equipment and supplies
  • Coordinate & set-up special events/meetings (onsite and offsite).
  • Communicate with and act upon requests from internal, external and global customers while preserving confidentiality
  • Perform other duties, as required

Job Requirements


The individual will have a minimum of five years relevant work experience, preferably in a corporate setting. A college degree is preferred. The individual will have the following abilities:
