Job Requirements of Higher Education Executive Assistant:

- Proven experience in office management or administrative support within an academic or professional setting.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.

Higher Education Executive Assistant
Advanced Personnel Resources is seeking a highly organized and proactive Higher Education Executive Assistant to support senior academic leaders and administrative teams within a dynamic educational institution. This role involves managing complex calendars, coordinating projects, and providing comprehensive administrative support to ensure the smooth operation of academic programs and institutional initiatives. The ideal candidate will demonstrate exceptional communication skills, proficiency in office management, and a strong commitment to fostering an efficient and professional environment. This paid position offers an opportunity to contribute meaningfully to higher education administration while developing valuable skills in a collaborative setting.
We have two opportunities that we are currenlty working on - both are located in the Triad!
- Option 1 moving quickly - the pay will be around $20-22 per hour, could go long-term/temp
- Option 2 will not move until after the holidays - $20-22 per hour, possible direct hire!
- Both roles will be office business hours and onsite!

Responsibilities
- Manage and coordinate executive calendars, scheduling meetings, appointments, and institutional events with precision using tools such as Microsoft Outlook Calendar and Google Workspace.
- Prepare, proofread, and transcribe correspondence, reports, presentations, and meeting minutes with attention to detail.
- Organize and facilitate event planning activities for academic conferences, workshops, and seminars, including venue arrangements, catering coordination, and logistics management.
- Provide comprehensive administrative support including filing, data entry, document management via DocuSign, and maintaining organized office records.
- Handle multi-line phone systems with professionalism, demonstrating excellent phone etiquette while directing inquiries efficiently.
- Support project coordination efforts by tracking deadlines, preparing agendas, and collaborating with faculty and staff on various initiatives.
- Manage office supplies inventory and oversee front desk operations to ensure a welcoming environment for visitors and callers.
- Support personal assistant duties for senior staff including travel arrangements, personal scheduling, and confidential correspondence.
- Maintain organizational systems that enhance workflow efficiency across departments.
