Job Description

Responsible for the accurate and timely preparation and submission of the bi-weekly payroll, and the HS draw-downs and reports that follow. Responsible for training staff in their areas of the payroll system. Also, responsible for updating grant management files, as well as serve as back-up for A/P and A/R/Cash Management staff.

II. Essential Duties and Responsibilities

  • Verify accuracy of time records from Infinisource. Work closely with Human Resources to ensure accuracy of employee status changes. Perform payroll data changes and prepare payroll to submit to Infinisource. Monitor all transactions for accuracy.
  • Monitor all data in Infinisource; create and monitor accrual profiles, status changes up to and including but not limited to new hires, termination, supervisor changes, pay rate changes.
  • Monitor and verify proper labor distributions created by the Fiscal Director in the database for each employee’s allocation.
  • Prepare request for the HS payroll draw-downs. Prepare all journal entries related to the payroll.
  • Create and run requested reports in Infinisource for Fiscal staff.
  • Ensure that any unclaimed manual payroll checks are investigated and resolved.
  • Train all staff in their areas of the payroll system.
  • Ensure that all garnishments are processed, paid properly, and on time through the agency payroll and are filed and kept in a secure area in the Fiscal Department.
  • Update grant management files on a monthly or quarterly basis as needed.
  • Process FSC UW grant monthly billing.
  • Perform other job-related tasks as assigned.

Job Requirements

III. Essential Qualifications

  • BS in Accounting or other related field
  • Strong Communication and Customer Service skills
  • Intermediate Excel skills
  • Familiar with Microsoft Office Suite
  • 2-3 years Payroll Outsourcing experience.
