Job Description

We are recruting for a experienced event planner for a long term opportunity to service a client in the Triad. The candidate selected for this opportunity as the Event Planner will report to the Conference Center Director and will be responsible for executing events from the proposal stage to completion and will provide pre /post-event orientation and debriefing. They will be the main point of contact acting as the project manager coordinating with clients and vendors to ensure superior customer service, a thoroughly planned meeting/event and a high-quality final product. This role will work with a variety of clientele from various industries to include corporate, non-profit, medical, educational, government entities. The Events Planner will be responsible for general oversite of his/her day to day events and operations as well as participate in prospecting and marketing efforts of the center.

General Duties:

• Works to generate revenue through conferences/meetings/events and catering to ensure Conference Center profitability.

• Responds to event inquiries providing specified accommodations and configurations, food and beverage options and pricing to accommodate the event

• Prospects outstanding sales proposals (and prospects new business) in an effort to capture business

• Works in concert with other Conference Center Staff and interoffice departments to ensure resources are available to execute events

• Generates rental contracts and invoices and maintains accurate invoicing records throughout the life of the event

• Conducts venue tours for clients both as a means of sales and throughout the planning phase as needed

• Ensure all resources are available to execute events and conduct full up calls, completes necessary planning templates for the event to include (agenda, room set up, audio visual, catering and any special needs)

• Works closely with Conference Center preferred caterer to secure food and beverage arrangements for events; Confirms details, pricing and arrangements with the catering vendor

• Actively contributes to the Conference Center social media sites with real time and scheduled posts

• Supports and actively participates in the migration from a manual bookings; learns and trains on new workflow process

• Stays abreast of trends in the meeting market and conference center industry

• Ensures positive customer satisfaction by being responsive and proactive as the event is taking place

• Completes post-event checklist items including closing with the client, performing any service recovery and customer surveys

• Participate in national, regional and state professional development initiatives to improve knowledge and skill base

• This is a paced events environment that requires constant multi-tasking

• Process is not automated and will be using a manual booking process

• Will work in conjunction with Conference Center Team Members, External Clients (established and prospective) and vendors to include(Catering, Rental, Courier or Other)

Job Requirements

• Associates Degree from a regionally accredited post-secondary institution in a field related to the functions and activities associated with the job.

• Desired degrees include, but may not be limited to: Hospitality Management, Event Planning, Communications, Marketing, Business Administration, Project Management, etc.

• Seven years of related experience Hospitality Management, Event Planning, Communications, Marketing, Business Administration, Project Management, etc.

• Three years of full-time successful work experience in conference/corporate events or special events field , conference center, catering, sales and Marketing

• Experience with event planning software and CRM databases

• Experience in managing hospitality vendors

• Computer proficient in Microsoft Office Products (Word, Excel)

• Ability to create sales proposals, research for prospects and make solicitations

• Excellent follow-up and organizational skills

• Understanding of audio and visual technologies utilized in conference facility
